Client Coordinator

We want you to bring your exceptional skills and experience and join us as our newest Client Coordinator reporting to the Clinic Manager. You will be responsible for Greeting clients, scheduling appointments, managing calendars, and always maintaining exceptional customer service. This is a full-time position working Monday to Saturday and based in North Vancouver BC. We Are hiring 2 candidates for this role. One for the Westview Drive location and one for the Esplanade location.

What Will You Be Doing?

  • Running a smooth and efficient front-of-clinic operation and optimizing client flow
  • Answering phone calls timely with a keen understanding of aesthetic procedures
  • Ensuring all questions and objections are addressed with the goal of booking the client for a consultation
  • Providing accurate, appropriate, and immediate responses to all requests by clients, ensuring complete client satisfaction
  • Scheduling, invoicing, confirming all appointments, checking clients in and out, and pre-booking their next appointment
  • Selling retail products, and managing the payment process in accordance with Company policies * Educating clients about any loyalty and referral programs, discussing in-clinic promotions, and encouraging Google reviews
  • Explaining cosmetic and skin treatments to help guide prospective clients and determine the best treatment and best provider for the appointment (triaging)
  • Maintaining a large database of client information
  • Maintaining clinic confidentiality, including the Personal Information Protection Act and Personal Information Protection & Electronic Document Act which are Canada’s laws on how businesses handle personal information and client privacy
  • Utilizing computers with skill and proficiency in EMR/Practice Management Software, Excel, and Word
  • Preparing daily cash out and cash reconciliations for all sales and in-clinic expenses
  • Preparing reports from the EMR/Patient Management system when requested
  • Assisting with day-to-day troubleshooting and clinic logistical needs, ensuring that the facilities are maintained with the highest level of care and quality and fully stocked with supplies
  • Maintaining and ordering office supplies inventory
  • Staging and cleaning of reception and waiting areas and stocking of fridge
  • Assisting with various marketing activities such as coordinating and planning events

As The Successful Candidate, You Have:

  • Five years of previous experience in a receptionist position with a retail/medical service provider, ideally in skincare
  • Excellent customer service experience
  • Knowledge of sales techniques applicable to the skin care industry
  • Comfortable using computer systems for patient booking and the MS Office Suite of products
  • Excellent customer service skills
  • Diligent and able to follow procedures to open/close clinic and maintain cleanliness
  • Previous experience receiving stock and taking part in inventory counts
  • Willing and able to support clinicians and administrative staff
  • An upbeat, friendly demeanor

  • Administrative: 3 years (required)
  • Retail sales: 3 years (required)
